Student Employment

DePauw has several student employment programs and options, including Federal Work Study, Residence Hall Assistants, Community Service, the Bonner Scholars Program, the ITAP Program, and Summer Employment. The Financial Aid Office always has a list of available positions and should be contacted if a student needs help securing a job.

Federal Work Study

The student employment program was established through the federal work study program to extend part-time employment opportunities to students who are in need of such earnings to meet college expenses. The Financial Aid Office is responsible for awarding work study to students in their financial aid award but also assists students finding a job.

To get started, do the paperwork:
These forms are mailed to incoming students before they arrive on campus and are also available in the Financial Aid Office.

  • a work study application
  • federal and state withholding tax forms
  • employment eligibility verification form from INS or I-9.
    (The I-9 requires a student provide proof of citizenship which can be done by showing a copy of the student's passport. More often the student will provide a picture ID such as a driver's license or DePauw ID and a copy of the social security card or birth certificate.)

Once this process is complete, the student will have the opportunity to get a job using the work study application to show prospective employers. The employer who hires the student will print out a Certification Form for the student to sign.  The Certification Form serves as a contract between the University, the supervisor, and the student for the job. It must be returned to the Financial Aid Office for a student to be eligible for payroll. Students holding more than one job on campus must have a Certification Form on file for each job no matter how few hours are worked at any position.

 

Returning Students

Jobs are available all over campus as well as a few community service positions on campus and in areas close to the University. The Financial Aid Office always has a list of available positions and should be contacted if a student needs help securing a job.  The electronic process has a link directly to available positions on the student's eServices page.

The work study component built into the financial aid award requires a student be paid for the work performed. Students are compensated bi-weekly at the rate of 'an hour's pay for an hour's work.'   Electronic timecards are submitted every other Monday at 10 a. m. The student can decide to have earnings directly deposited to the tuition account and reduce the amount owed or to have them deposited directly into their personal checking account or to receive a check directly. These checks are sent to the student's Union Building mailbox.  The required request forms are available in the Cash Receipts Office.

  • Students should enter their time or clock in each day they are working
  • Students should submit their on-line time card to their supervisor for approval/denial at the end of the payroll period or the last day they work in the payroll period

Timecards cannot be processed until all paperwork is complete. The reasons a paycheck is not received are:

  • tax papers, application, and I-9 are not complete
  • no certification for the job has been received
  • the timecard is not signed by both supervisor and student
  • the timecard is submitted after 10:00 a.m. on Monday.

Non-Work Study or Waiver Employment

Most students not eligible for the federal work study program can work in various jobs on campus once all the students receiving federal work study have been placed. Students can check with the Financial Aid Office after the first week of classes for the semester. Jobs are secured by talking to the Student Employment Coordinator in the Financial Aid Office. Required documents are similar to those completed by students receiving federal work study. Students must complete a non-work study employment application, federal and state withholding documents, the I-9 and a waiver which is equivalent to the work study certification form.

Students not eligible to work as a waiver are Resident Assistants, Bonner Scholars, Presidential Rector Scholars, Malpas Scholars, ITAP students and Fall Counselors as they are already employed full time or receiving assistance in another role.

Residence Hall Assistants

Residence Hall Assistants (RA) are compensated for the work they perform through room benefits. The amount of these benefits equates to the amount of room charges for the term(s) the student holds the job. The manner in which the student receives the award is variable depending on the amount and type of financial aid the student currently receives. Students are required to talk to a counselor in the financial aid office before deciding to take the position so they completely understand how the RA position will benefit them financially.

Students receive an $800 stipend paid out in $42.11 increments every two weeks. They are not allowed to work another job on campus as the position is a full time job.
