WINTER TERM : Off-Campus Study & Service

Don't wait! Get started this summer!

Receiving credit for Winter Term: All students who participate in a Winter Term Off-Campus Study or Service project will be enrolled for credit towards graduation. Failure to submit paperwork, finish assignments, and/or attend all mandatory meetings and events will result in an unsatisfactory (U) mark on the transcript. In order to pass and receive credit for Winter Term, you will need to submit the following forms in a timely fashion to the Winter Term Office. You must attend one mandated orientation session to during International Education Week (mid-November). Failure to comply with our deadlines and scheduled events may jeopardize your ability to participate in your project.

Study Projects: Your faculty leaders, possibly in conjunction with a travel provider, are responsible for all of the arrangements for your project. Be in touch with them if you have questions about the flight arrangements, accommodations, medical or physical concerns, daily schedules, cost, spending money recommendations, course requirements, etc. You are required to attend any pre-departure session that they plan for you.

List of forms and requirements with descriptions and deadlines:

  1. Spring Deposit Form - This form is distributed by faculty leaders in spring 2006 to the students they accept into their projects and is used as a place holder. Signing this form authorizes the Winter Term office to have your billing account charged for the amount indicated (usually $100). Accounts will be charged on July 1st. Prior to this date, you should let the Winter Term office and your faculty leaders know if you change your mind about participation so that your account is not charged. After July 1st, the $100 deposit is non-refundable. Please do not send cash or checks to your faculty leaders or the Winter Term office.
  2. Student Support Funding - All students are encouraged to apply for student support. Forms are due on September 15th and award amounts are announced in time for students to withdraw without financial penalty if necessary. The withdrawal deadline is October 1st.
  3. Payment Agreement Form - In fall 2006 you will receive this form from your faculty leaders. By signing this form, you agree to allow DePauw to charge your student account for the full amount of the project. If you withdraw from the project after the deadline or are forced to withdraw because you have not complied with our guidelines, you will be eligible to receive a reimbursement only for refundable expenditures made on your behalf.
  4. 2 legible photocopies of your Passport Issuance Page (and visa) In the event that your passport is lost or stolen while you are abroad, a photocopy of the picture and name pages will expedite the reissuance process. Your faculty sponsors will travel with one copy and the Winter Term office will retain the second copy. If you require a visa for travel, please submit a photocopy of that page as well. How to obtain or renew a passport. 2 copies of your passport issuance page will be due to the Winter Term office on September 15th.
  5. Medical Information Form - This form collects information about your insurance policy, medications you are taking, and conditions or limitations you may have. We encourage you to discuss this form privately with your faculty leaders or with the Winter Term office if you are concerned about the impact of travel on your health. Form due to the Winter Term office on September 15th.
  6. Agreement, Release and Medical Authorization Form -This form requires the signature of a parent or guardian. Form due to the Winter Term office on September 15th.
  7. Code of Conduct - Remember you are representing DePauw University and are required to uphold standards outlined in the Student Handbook at all times. Form due to the Winter Term office on September 15th.
  8. Vaccination Checklist - Stop by the Durham House to obtain this form. Take this form to Student Health Services for a member of their staff to complete. If you have not received all of the required vaccinations, you will need to do so prior to January or apply for the appropriate waiver. Form due to the Winter Term office on September 15th.
  9. Orientation - Please note that you will be required to attend an hour-long orientation meeting in November. Location TBA. More information will be provided in the fall.
  10. You must attend all required pre-departure meetings as scheduled by your faculty leaders and the Winter Term office.
  11. Once you have submitted all of the required forms and attended the mandatory orientation session during November, the Winter Term office will register you for credit.

You may not change off-campus projects after committing. If a problem requires your withdrawal from your project after registration, and if you intend to fulfill a Winter Term commitment this year, you must register for an on-campus course, which you may do electronically during the registration period which is in mid-November.  The Winter Term office will update the list of open courses regularly on the web.  You will also be able to register for an open on-campus course on Tuesday, January 2, 2007 in the Winter Term office.
