The Double-Booked Room form is used to find rooms that have been scheduled for more than one event at the same time. The user must enter a time period. All rooms can be checked for conflicts for this time period or just rooms in a particular building can be check. Facility Coordinators can use this form to check for conflicts before confirming a schedule.
Note: All events will be used in the search regardless of their status. For example, Confirmed, Pending and Conflict status will be used.
The Double-Booked Room form can be navigated to from the Event Management Home Page.
- Find Double-Booked Rooms. This link is located on the left hand side of the page. Clicking on this link will open the Double-Booked Room form.
The Double-Booked Room form is used to search for rooms that have more then one event scheduled at the same time. Instructions for using the form is on the left hand side of the page.
- Date From. Enter the start month, day and year using the drop-down list for each.
Attention: This is a required field.
- Date To. Enter the end month, day and year using the drop-down list for each.
Attention: This is a required field.
- Building. Select, using the drop-down list, the building or buildings to search for double-bookings.
Suggestion: Press the Control key down and click on the desired buildings to select more than one building. Do not click on any buildings to select all of the buildings.
- View Results. Clicking on this button will open the Double-Booked Rooms report.
This report is an HTML listing of all the rooms that are double-booked and meet the criteria entered in the form. The following are the columns of information listed on the report:
- Event ID. This is the row ID for the scheduled event.
- Date. This is the date for the scheduled event.
- Start Time. This is the start time for the event. This time should include the prep time.
- End Time. This is the end time for the event. This time should include the tear-down time.
- Title. This is the name of the event.
- Room. This is the room scheduled for the event.
- Sponsor Person. This is the name of the person who is sponsoring the event.
- Sponsor Org. This is the name of the organization that is sponsoring the event.
- Status. This displays the reservation status (Pending, Confirmed or Conflict).
Note. Courses do not have a reservation status since they are always confirmed.
- Date Confirm. This is the date that the Facility Coordinator confirmed the scheduled event.
- Last Modified Date. This is the date and time that the event record was last modified.
- Last Modified By. This is the name of the person who made the last modification to the event record.
