The Room Available form is a single-row form used to view a list of rooms that meet the selected criteria including the date and times. This form is helpful to find an appropriate room for the type of event that you need to schedule.
Note: This form differs from the Features form by adding the date and time for the event.
The Room Available form can be navigated to from the Event Management Home Page.
- Find an Available Room. This link is located on the left hand side of the page. Clicking on this link will open the Room Available form.
The Room Available form is used to search for rooms that will meet the criteria necessary for the event. Instructions for the the form is on the left side of the form. Enter at least one of the following criteria to generate a list of rooms that meet the criteria you select.
- Room Features. If applicable, select the desired room features from the drop-down list. For example, you may be looking for a room with whiteboards.
Note: See Drop-Down Lists.
- Room Type. If applicable, select the type of room from the drop-down list. For example, you may be looking for an auditorium.
- Number of Seats. If applicable, select the number of seats that are required for this event. For example, you may be looking for a room capacity of 80 seats.
- Building. If applicable, select the desired building for the location of the event.
Enter all of the following to generate a list of available rooms.
- Start Date. Enter the start date for the event using the Calendar LOV or mm/dd/yyyy format (example 02/15/2005).

- Start Time. Enter the start time for the event using the Time LOV or the hh:mm am/pm format (example 10:00 AM).
Note: See Time LOV.
Attention: Include setup time to avoid any conflicts with other scheduled events.
- End Time. Enter the end time for the event using the Time LOV or the hh:mm am/pm format (example 11:00 AM).
Attention: Include teardown time to avoid any conflicts with other scheduled events.
- View Results. Clicking on this button will generate a Room Available report. This report is an HTML listing of all rooms that match your specifications.
This report is generated by the Room Available form. It is an HTML listing of all of the rooms that match your entered specifications. The search criteria that you entered will be listed at the top of the page. A list of available rooms with their features will be listed. The following links are available on the report.
- Schedule. The Schedule link will be next to each available room that meets your search criteria. Clicking on this link will open a new Event form. The fields will be pre-populated with the date, time and location information from the report.

Attention: The list may include departmental labs (geology, chemistry). These labs should not be chosen for your event.
- Add an Event. This link will navigate to a new Event form.
- Search Page. This link will navigate to a new Room Available form.
