e-Services Report Engine Excel Tips

The Reports List Menu page will display the Excel link for each report. Clicking on this link will create a report that will open directly into Microsoft Excel. The report displayed in Excel provides a convenient means to analyze the data. This page will discuss how to analyze a report that is in Excel.

Using Microsoft Excel to Analyze Data

When a report opens in Excel, the first row of the report ("A") contains column headers.

1. Sorting Data
   
   
   • Click Data on the menu bar.
     
     
   • Click Sort on the Data menu.
     
     
   • In the Sort window select Column Headers (up to three) to be used to sort the data from the drop-down menus.
     
     
   • Click the Ok button.
     
     
     
2. Filtering Data
   
   
   • Click Data on the menu bar.
     
     
   • Highlight Filter and click Auto Filter. The Column Headers now appear as drop-down menus.
     
     
   • Click the drop-down menu corresponding to a Column Header.
     
     
   • A list of unique items in the column appears. Click an item in the list or select Blank or select Top 10 or click Custom.
     
     
     
3. Creating a Custom filter:
   
   
   • Click Custom in the Column Header drop-down menu. The Custom AutoFilter window appears. You can use up to two Custom Filters. You can filter data using operators such as "equals", "begins with" or "contains".
     
     
   • Chose your filters and click the Ok button.
     
     Note: You can observe that a filter has been applied by the blue row numbers and the blue arrow that appears on the column header.
     
     Suggestion: You can add additional filters by repeating the last two steps.
     
     
     
4. Turning off the filter:
   
   
   • Click the drop-down menu corresponding to a filtered Column Header, and click Show All.
