Collecting Policy

What we know about the early days of the United Methodist Church in Indiana and DePauw University comes from the written records of the nineteenth century, saved and passed on to the Archives.  Future historians will learn of the two institutions through records which the Archives collects and preserves today.  The Archives also serves the present by relieving offices of inactive files and by providing a central source of information about people, events and buildings of the University and the Church.

Why transfer records?

  • Frequently valuable records are lost or destroyed by accident or natural disasters such as fires or floods.
  • Documents about the University or the Church, by virtue of their unique, historical nature, should be preserved in an archives.
  • The Archives and Special Collections provide the right environment for preservation of historical records.

What can be transferred?

  • Local churches throughout the state may transfer to the Archives and Special Collections their written histories, non-current records, files, scrapbooks, photographs and other historical material.
  • Complete access and property rights to such records remains with the local church.

Personal Paper Donations

  • Some of the most interesting collections in the Archives and Special Collections are personal papers.
  • Collections of personal papers document the professional achievements of those individuals who have contributed to the life and growth of the University and the Church.
  • Personal papers of alumni, faculty, trustees, ministers, missionaries and other individuals connected with either or both institutions are welcome.

General Information

  • Gifts that fall within one of the special collections subject areas are accepted.
  • Faculty and alumni publications in particular are welcome donations.
  • When a donor requires a written estimate of value, a list of book and manuscript dealers will be furnished, but the Archives and Special Collections cannot make the appraisal itself.
