Event Registration

Any Greek event involving alcohol, and all off-campus events, must be registered with the Office of Fraternity and Sorority Life.  Each chapter hosting an event, whether as a host or a co-host, must complete the Greek Event Planning Form.  The completed form is to be submitted to the chapter’s Greek Life Coordinator on Friday by 4:00pm at least one week prior to the event..  The chapter president and the risk management officer will need to meet with their GLC together to discuss their Greek Event Planning Form no later than 12:00 p.m. on Wednesday prior to the event.

Per the Greek Event Planning Form, chapters who register events agree to the following:

  • All chapter members have been educated on the risk management policy and the organization’s social event guidelines.
  • All provisions of the risk management policy and the social event guidelines will be adhered by the chapter members and guests.
  • All other organizations participating in the event will adhere to DePauw University policies and to the provisions of the national social event guidelines of all chapters participating.
  • The event will be BYOB or Third Party Vendor.  No alcohol will be provided by our chapter or by any individual to another. No bulk quantities of alcohol will be present (i.e. kegs, punch, common containers, etc.)
  • The chapter will provide the number of sober monitors specified by the SRC Policies for the duration of the event.
  • Safe rides/walks will be provided to any member or guest who requests or requires it.
  • At single-chapter events, a total of no more than 3 guests will attend per chapter member present.
  • Door duty will be done for the duration of the event. A copy of the guest list will be maintained via electronic recording of all DePauw ID cards and documents approved guests. This information will be recorded and filed with the IFC Risk Management Chair.
  • The event will end at or before 2:00 a.m.
  • All laws of the City of Greencastle and the State of Indiana will be adhered to.
  • All violations of applicable policies, laws and city ordinances will be subject to disciplinary review/action
