Hello Student,

We are writing to you today to provide more information regarding the Fall 2021 move-in process for all students. All check-in procedures will be guided by your COVID-19 vaccine status. Please read the entire email carefully so that you understand your particular process as some details have changed from previously announced testing and transition requirements. 

Students who do not submit their COVID-19 vaccination records, do not have an approved medical or religious exemption or have not requested a COVID-19 vaccine appointment will not be allowed to move into their University-approved housing (University housing or Greek living unit). Wednesday, August 11th is the final deadline to demonstrate compliance with the COVID-19 vaccine requirement either by submitting COVID-19 vaccination records or a request for medical or religious exemption. New, incoming students should submit their COVID-19 vaccination record to Med+Proctor and returning students should use this Google form. Exemption forms should be emailed to depauwhealth@hendricks.org

Because it is important that we utilize health-conscious practices throughout our arrival period, we are asking you and your move-in helpers to follow these guidelines below:

  • Be conscious about your interactions in the days and weeks leading up to your move-in day. Consider staying away from large groups and monitor your health daily for COVID-19 symptoms.

  • Given the number of individuals sharing campus spaces who have traveled from a variety of locations, all students, staff, and move-in helpers, regardless of vaccination status, will be required to mask indoors during all move-in activities.   

  • All students and move-in helpers are required to follow COVID-19 policies that are in place on the date of their arrival. Please see President White’s email from August 9 regarding updates to COVID-19 policies. Our policies are being regularly updated as new information about the virus develops and we monitor and evaluate data.

  • Students and move-in helpers who are not feeling well should not come to campus. Students who are not feeling well on their move-in date or who have tested positive for COVID-19 on a pre-arrival test should contact Julia Proctor (juliaproctor@depauw.edu or 765.658.5473) to discuss plans for rescheduling their move-in date. 

Move-In Date and Check-In Location

Students will be expected to arrive on campus on their confirmed move-in date during published check-in hours. We will not be able to accommodate after-hours or late check-ins. 

WHERE YOU CHECK IN on your arrival date is dependent on your vaccination status and if you are traveling from an international location. There are three different sets of instructions below based on categories of vaccination status and international travel. Reading these instructions carefully will help your move-in day go smoothly. 

  1. If you have completed your COVID-19 vaccine series prior to your move in date, are not arriving from an international location, and have submitted all COVID-19 vaccination information to the University, you may check directly into housing upon arrival.

    • In University-owned housing:

      • Approved Early Arrivals: If you are arriving early with an approved program, your check-in time and location will be what your program has shared with you. If you are arriving early on campus as part of an approved program, you are to adhere to all of the policies in the Student Handbook and in the Residential policies. Failure to do so could result in you being asked to leave campus until your regular check-in date. In addition, you should not give access to housing to roommates or housemates.

      • First-year students should arrive on Saturday, August 21 and will check in at your residence hall between 8:00 AM - 11:00 AM. 

      • Returning students and transfer students should arrive on Sunday, August 22 and will check in at the Housing and Residence Life Office, located on the first floor of Reese Hall, between 10:00 AM - 5:00 PM. 

    • If you live in a privately-owned Greek living unit, you may go directly to your chapter house and follow check-in procedures communicated by Greek house leadership.

  2. If you have completed your COVID-19 vaccine series and ARE traveling from international locations in the two weeks prior to arriving on campus, you will be required to complete testing in accordance with CDC guidelines and airline requirements for vaccinated international travel.

    • Pre-Arrival Instructions: Test #1 must be completed 1-3 days prior to arrival. This test is at your expense. Negative test results must be uploaded to this Google form by midnight the night before your scheduled arrival date. If you do not have proof of a negative COVID-19 test for Test #1 you will not be permitted to move into fall housing.

    • Arrival Day Instructions:

      • Report to the Housing and Residence Life office in Reese Hall. See Section A for dates and times that check in is available. 

      • Staff will confirm receipt of negative results from Test #1. It is recommended that you also have a copy of your Test #1 results in hand at arrival. 

      • Test #2 must be completed 3-5 days after arrival. You will be given information at check-in on how to schedule Test #2. 

  3. If you have NOT completed a COVID-19 vaccine series due to exemption or lack of vaccine access in international locations, you must complete return to campus testing and transition

    • Pre-Arrival Instructions: Test #1 must be completed 1-3 days prior to arrival. This test is at your expense. Negative test results must be uploaded at this Google form by midnight the night before your scheduled arrival date. If you do not have proof of a negative COVID-19 test for  Test #1, you will not be permitted to move into fall housing. 

    • Arrival Day Instructions: 

      • Testing will only be available during these hours for those required to complete arrival day testing.

        • August 13: 8am - 11am

        • August 14: Noon-1pm

        • August 16-21: 8am - 11am

        • August 22: 10am - 1pm

        • Additional hours will be available on Aug. 16 and 18 for students arriving from international locations. 

      • Report to the southeast entrance of the Lilly Center at the corner of Olive and College Streets to complete Test #2. Parking is available in the adjacent lot. Look for the signage for the Buehler Health & Wellness Suites.

      • Staff will confirm receipt of negative results from Test #1. It is recommended that you also have a copy of your Test #1 results in hand at arrival. 

      • DePauw Health Wellness Center staff will then conduct Test #2 and you will be required to wait outside or in your vehicle for 15 minutes while the test is processed. 

      • If Test #2 has a result of not detected (negative), you will be issued keys for University-owned housing or be cleared to move into your Greek living unit AND be scheduled for Test #3.

      • If Test #2 has a result of detected (positive), University staff will work with you on isolation housing options - either on campus or at home. 

    • 7-Day Transition Period Requirements:

    The transition period begins the day after your arrival and ends after 7 calendar days (Example: a student moving in on Aug. 13 begins Day 1 of transition of Aug. 14 and completes transition at the end of Aug. 20). During this transition period, you will be expected to:

    • Wear a mask at all times except while sleeping or engaged in heavy exertional activity outdoors by themselves.

    • Maintain 6 feet distance from other students and employees at all times.

    • Not ‘dine in’ at Hoover Dining Hall. Meals may be picked up from Hoover and consumed outside (for example, in Stewart Plaza) or in personal residence spaces, maintaining 6 feet of distance from others.

    • Not participate in indoor, in-person group activities or classes; this includes visiting Neal Fieldhouse and Welch Fitness Center. You may participate in outdoor, in-person activities or classes.

    • Monitor your health and report a record of daily symptoms to the University. You will receive instructions via email to complete this.
