Unvaccinated Employee Testing

DePauw employees who have not been fully vaccinated against COVID-19, including employees who are unvaccinated, have only received one dose of a two dose vaccine, have received an exemption to the vaccine requirement, or have failed to disclose their vaccine status to human resources, will be considered unvaccinated against COVID-19 by DePauw University. For purposes of this policy, an employee is considered “fully vaccinated” if it has been at least 14 days since the employee received the last dose, as recommended by the manufacturer, of a COVID-19 vaccine that has been authorized by the FDA (Food and Drug Administration) or WHO (World Health Organization) , including vaccinations that have been approved pursuant to an Emergency Use Authorization, and the employee has provided proof of receiving such vaccination doses to DePauw. DePauw may revise this policy in the future to require an employee to provide proof of receiving any CDC or FDA-recommended “booster” shots in order for the employee to maintain “fully vaccinated” status.

Unvaccinated employees will be required to be tested for COVID-19 one or more times per month. The frequency of COVID-19 testing will be determined by the COVID-19 mitigation team and will be relative to the number of positive COVID-19 cases on campus and in the local community. Employees who meet the criteria for “tier 1” personnel as defined by the NCAA Sports Science Institute Resocialization of Sport document (e.g. coaches, athletic trainers, physical therapists, medical staff, equipment staff, and officials) will be tested in accordance with NCAA requirements.  Employees will remain in a paid status  for the time taken to complete any required testing conducted on-campus prior to their testing due date.

DePauw University will use viral tests to test unvaccinated employees for COVID-19. Employees will not need to pay any amount for a test administered by DePauw University. Only the fact that the test was administered to the unvaccinated employee will be shared with Human Resources. The results of the test will not be shared with Human Resources. Negative COVID-19 test results for tests conducted under this policy need not be reported to Human Resources, but DePauw will conclude a record of a test being conducted means the test result was negative unless the employee reports a positive result. It is the employee’s responsibility to truthfully report test results to Human Resources if they are informed that their COVID-19 test is positive. Any employee who receives a positive COVID-19 test and fails to promptly report the test to Human Resources is subject to disciplinary action, up to and including termination of employment.

Employees who would prefer to seek testing at a physician’s office or a state-authorized testing site are welcome to do so. In order for a test to be accepted as an unvaccinated employee test by DePauw Human Resources, the COVID-19 test must be performed at a physician’s office or a state-authorized testing site and the results must be valid. Many forms of testing are available in our community. Both nasal swab and saliva tests will be acceptable alternative tests to those tests delivered on campus. DePauw will not be financially responsible for additional expenses (if any) incurred by an employee seeking testing outside of DePauw University. It is the employee’s responsibility to ensure the secure transfer of valid testing information to DePauw, including providing documentation of a valid test being conducted (as described below) and truthfully reporting to Human Resources if the employee is informed their off-campus COVID-19 test is positive. Any employee who receives a positive COVID-19 test administered outside of DePauw University and who fails to promptly report the test to Human Resources is subject to disciplinary action, up to and including termination of employment.  

Employees will be emailed a notification of the date that their COVID-19 test will be due, typically at least five (5) days in advance of the due date.

Any employee who does not comply with the testing directives will receive the following progressive disciplinary actions.  If the employee is a faculty member, these actions will be applied in accordance with policies and procedures outlined in the Academic Handbook.

  1. Any employee who fails to submit documentation of a valid COVID-19 test supervised by a physician’s office or a state-authorized testing site by the specified due date, through the portal provided by DePauw, will be contacted by their supervisor, Vice President, and Human Resources.
      

  2. Any employee who fails to submit documentation of a valid COVID-19 test supervised by a physician’s office or a state-authorized testing site by seven (7) calendar days after the specified due date, through the portal provided by DePauw, will have a written letter of reprimand added to their personnel file.

  3. Any employee who fails to submit documentation of a valid COVID-19 test supervised by a physician’s office or a state-authorized testing site by fourteen (14) calendar days after the specified due date, through the portal provided by DePauw, will be put on unpaid temporary leave. Temporary leave would be reversed only at a time when the employee produces documentation of a valid COVID-19 test supervised by a physician’s office or a state-authorized testing site, the DePauw COVID-19 vaccine or testing requirement has been removed, or the employee is terminated.
