Student Academic Life Follow Up re: Spring term March 12

 

Dear students,

Many of us have been members of the DePauw community for a number of years and we have greatly valued the continued focus on students and community that this University has had throughout the duration of our time at DePauw. We recognize how difficult this time will be for you and your families. The health, safety and welfare of all members of our campus community are vitally important.

Although there are no suspected or confirmed cases of COVID-19 on DePauw’s campus or in Greencastle, the number of cases in Indiana, the U.S., and across the globe continues to rise. Please note that if that status of cases on campus should change, you would receive a text through the emergency notification system. We urge everyone, whether you are in your DePauw community or other communities, to take precautions for your own safety and others around you. In particular, social distancing has emerged as one of the most effective means of reducing the spread of this virus.

Listed below are updates related to the continued availability of student services. Although I may not be able to address all questions in this continually evolving situation, please know that members of the Student Academic Life team will continue to be available to assist you. Beginning March 12 - March 20, the Student Academic Life Office will re-assign staff members in order to have as many staff as possible on hand to answer phones from 8 p.m. to 4:30 p.m EDT at 765-658-4270.

STUDENTS ON CAMPUS UNTIL MARCH 20

We strongly encourage everyone to practice social distancing, avoiding large gatherings and social events where individuals are within six feet of one another. Also:

  • Wash your hands often with soap and water for at least 20 seconds, especially after you have been in a public place; using the restroom; after blowing your nose, coughing or sneezing; and, before eating.
  • Avoid touching your eyes, nose, and mouth with unwashed hands.
  • Avoid close contact with people who are sick or symptomatic.
  • Stay home when you are sick.
  • Cover your cough or sneeze with a tissue, then throw the tissue in the trash.
  • Clean and disinfect frequently touched objects and surfaces using a regular household. cleaning spray or wipe.

Moving out of your Housing Location
Students should depart campus as soon as they have made travel arrangements. All University Housing will close at 6:00 pm on Friday, March 20, 2020 for students who have not been officially approved to remain on campus. For students who will depart campus, please begin packing your belongings and make plans to bring them with you when you leave. We ask that you do your best to clean and return your room to the condition in which you found it upon checking in. All issued keys need to be returned to the Housing and Residence Life office located on the first floor of Reese Hall prior to your departure. Housing and Residence Life business hours are 8 a.m. to 4:30 p.m., Monday through Friday; if you depart outside of those hours, please return your keys to a drop box located at the DePauw Police Department. Unreturned keys will result in a $75.00 lock change fee.

Fraternity or Sorority Houses
We have recently sent information to all House Corporation Presidents. If you have immediate questions related to your Greek housing status, please contact a member of your House Corporation directly for move out dates and instructions related to your chapter.

Floor Information from RAs for First-Year Students
Resident Assistants will be preparing flyers with specific information for first-year students that provide information for closing expectations, questions and or concerns. Please make sure that you thoroughly review this information as you prepare to move.

Storage
There are a limited number of University storage units and they will be allocated on a first-come, first-served basis for those who live more than 500 miles from campus. Please review the on-campus storage information to review prices and to make sure you qualify for an on-campus storage unit. Please email Donna McKean at dmckean@depauw.edu to reserve a storage unit.

Vehicles
All student vehicles should be removed from campus, unless there are unusual circumstances that are approved by DePauw Police. We strongly encourage students not to store any personal belongings in their vehicles that are approved to remain on campus; DePauw will not be responsible for any belongings left in vehicles.

Dining
Dining services at Hoover Hall will be open during regular hours until March 20; please note that enhanced cleaning measures and safety precautions have been implemented and best practices for food safety will continue to be utilized.

Campus Events and Social Gatherings
As mentioned in previous communications, University-sponsored events remain canceled until further notice; however, athletics events will continue until March 20, 2020 under the ‘no fan’ policy enacted on March 9. *Beginning March 21, 2020, all athletics practices and competitions are cancelled for the remainder of the 2020 spring season.*

Informal social gatherings are strongly discouraged due to the social distancing recommendations of national and world health organizations. On-campus social gatherings (such as receptions or parties) of 10 or more people for those remaining on campus are not permitted.

University Expectations
At all times on campus, students are expected to follow the University's Code of Conduct and University protocols, including temporary restrictions on travel and social gatherings. Failure to follow these expectations may result in you being asked to leave campus immediately.

Student Academic Life Offices
Offices remain available to provide student support. Due to social distancing recommendations, we encourage you to consider if support can be provided via email and/or other electronic means. Please check office websites or call or email offices directly with specific questions related to their services, and general support questions can be directed to the Student Academic Life Office at 765-658-4270.

Library, Academic Resource Center, Centers and other Services
We are committing to providing academic support for all students regardless of their location. Therefore, these areas will continue to provide resources and support through March 20th and then throughout the spring term although hours may be adjusted and services may be shifted to an online format. Please call or email offices directly with specific questions related to their services and watch for additional announcements and website updates and note that all University services will update departmental websites with details about hours and services by March 20th.

STUDENTS REQUESTING TO STAY ON CAMPUS AFTER MARCH 20

Only students who have successfully petitioned via this form, and who have remained in residence over spring break, will be allowed to remain on campus after March 20. For the safety of everyone in our community, if you leave campus during spring break, you will not be able to return. Those who will be considered for a petition to remain include:

  • International students who cannot return home or whose homes are in a time zone four or more hours different from DePauw.
  • Students who do not have reliable internet access at or near their homes or who cannot return home for other reasons.
  • Students who need access to specialized equipment to complete course work.
  • In rare cases, students who have other extenuating circumstances.

Staff from Academic Affairs and Student Academic Life will review and make decisions on all petitions within a 24 hour time period.

Spring break Housing Form
For those students with an approved petition to remain on campus through spring break, a spring break housing form will be emailed to you to complete. Once you receive the form, please refer to it for the specific details on accommodations.

Dining after March 20
Dining Services was previously scheduled to end after the dinner on Friday, March 20 and remain closed throughout spring break. Dining Services will remain closed as originally planned through March 29. For meals after spring break, we will work with Bon Appetit to determine what food service options are available.

Travel for those Remaining on Campus
For the safety of all community members, students remaining on-campus will need to adhere to limited travel restrictions and remain within a 45 mile radius of campus. As we continue to monitor the status of COVID-19, we will update you as situations evolve.

GENERAL INFORMATION


Counseling Services
Normal business practices remain in place for counseling services through March 20. Director Yuhas is in the process of reviewing the service delivery model to determine the level and approach of continuing services moving forward. Please expect to receive email communication directly from Counseling Services regarding specific details.

Student Accessibility Services
A message has already been sent to students with active accommodations for the Fall 2019 or Spring 2020 semesters to communicate resources for the remainder of the semester. Those who have questions should contact SAS at 765-658-6267 or studentaccessibility@depauw.edu.

Business Office
We understand that there are a number of questions related to the status of room and board costs. At this time, our top priority is student safety, so we are continuing to work through cost inquiries, with more detailed information to follow. For general questions related to billing matters, please contact the Cash Receipts Office at 765-658-4015 or by emailing cashreceipts@depauw.edu.

Ongoing Communications With Students and Families
It is critically important for students to continue to check their DePauw email accounts frequently from now through the end of spring term, including after departing campus. We will send ongoing information that is important for you to know, including health notices of anyone on campus who might have contracted COVID-19 within 14 days of students departing on April 3.

In addition, if any of you experience symptoms of COVID-19 within 14 days of departing campus (through April 3), please call a medical professional in your home community for care instructions. It is very important to remember to call before seeking care. Please notify DePauw Health if you are found to be presumed positive (which means your initial test is positive and you are awaiting an additional confirmation test) or confirmed positive for COVID-19 by calling 765-658-4555. Although we will protect your privacy and not share any personal information, we will need to share with our community members that they should be on heightened alert for symptoms. We also will want to make sure you receive any needed additional support.

Student Academic Life Offices, Library, Academic Resource Center, Other Centers
We will remain available to provide support to students. Operating hours and details of available services will depend upon current health guidelines and the status of the COVID-19 pandemic. Offices will also be adapting services to provide applicable support to students living off-campus during this period of no in-person classes. Details will be posted on individual office websites.

Finally, I want to strongly encourage you to take care of yourself and those around you. I can’t stress enough how much we care about each of you and urge you to please follow all the best practices tips for your health and safety and that of your families. Stay encouraged and hopeful for our DePauw community.
