Student Employment

Work on Campus

The Student Employment Office coordinates on-campus job opportunities for DePauw students with work-study eligibility. We provide financial support toward your educational expenses while delivering meaningful work experiences designed to promote long-term professional growth. For detailed information, please refer to our handbooks:

Student Employment Eligibility

  • Work-Study Eligible Students: Students with Federal Work-Study or DePauw (Institutional) Work-Study included in their financial aid package may apply for any position listed on the Student Employment Job Board.
  • Non-Work-Study Students: For students without Work-Study in their financial aid package, job opportunities are limited to positions requiring specific skills or specializations.
  • Checking Eligibility: Students can review their financial aid package to determine Work-Study eligibility directly in Workday or by contacting the Financial Aid Office.

Important Award Caps & Honors:

  • Students may not exceed their total Work-Study award amount for the academic year. Once the capped award is fully earned, the student is no longer eligible to work. 
  • To stay within award limits, most students are recommended to work 8–10 hours per week. 

Student Employment Application Process

  1. Search & Apply: Log into Workday and click Open Student Jobs on your homepage to view and apply for open positions.
  2. Complete Paperwork: Accept your offer and complete all onboarding tasks in Workday. Returning student workers only need to apply and accept the offer.
  3. Present I-9 Documents: Visit the Human Resources office in person with original identification documents (photocopies or photos are not accepted). You may bring:
    • A valid passport, OR
    • One photo ID (driver's license or DePauw ID) plus one non-photo ID (Social Security card or birth certificate). 
    • For all other options, refer to the USCIS List of Acceptable Documents

Clearance Required: You are not cleared to start working until all onboarding is finished and you receive explicit confirmation from Student Employment.

  1. Search & Apply: Log into Workday and click Open Student Jobs on your homepage to view and apply for open positions. 
  2. Apply for an SSN: Review step-by-step instructions on the International Student Affairs (ISA) website to schedule and prepare for your appointment with the Social Security Administration. 
  3. Request Your Offer Letter: Email Student Employment (studentemployment@depauw.edu) to request your official job offer letter. 
  4. Obtain Temporary Work Clearance: Bring your Social Security Administration receipt, passport, and original copies of your I-94 and I-20 to the Human Resource office. 
  5. Submit Your Social Security Card: Once received in the main, bring your original Social Security card to the Human Resource office. 

Important Notes: 

  • Clearance Required: You are not cleared to start working until all onboarding is finished and you receive explicit confirmation from Student Employment. 
  • Hour Limits: International students may never exceed 20 hours per week of employment during the academic term to maintain immigration compliance. 
  • Transportation: ISA may offer group transportation to the Crawfordsville Social Security Office early in the semester. Afterward, students must schedule their own appointments and arrange transportation. Please reach out to ISA for assistance.
